Terms & Conditions
It is the passenger’s responsibility to have all the required documentation and identification needed for entries, departures and travel to each country of Southern Africa. This includes a valid passport, all visas for the countries visited, permits for minors, vaccinations, medical certificates and insurance policies.
The passenger must have a passport that is valid 3 months after the last date of travel with the tour operator, Shikwaru Adventures.
The passenger is responsible for the full amount of costs in case of missing, wrong or lost travel documentation.
Shikwaru Adventures does not provide advice on travel documents such as visas, vaccinations, permits for minors, and insurance policies.
Shikwaru Adventures must collect your personal information so that it can be delivered to the services booked for your trip. This includes photocopy of your passport, visas, medical certificates, vaccinations, travel insurance and dietary preferences.
3. THE BOOKING CONTRACT
The passenger’s booking is confirmed when Shikwaru Adventures, issues a written confirmation.
Always check your confirmation carefully and report any incorrect or incomplete information to Shikwaru Adventures or your agent as soon as possible. Please ensure that names are exactly as stated in the relevant passport, visas, permits for minors, medical and vaccinations certificates and travel insurance.
The passenger must be at least 18 years of age to make a booking.
4. MANDATORY INSURANCE REQUIREMENTS
ALL PASSENGERS MUST HAVE TRAVEL INSURANCE WITH A MINIMUM MEDICAL, EVACUATION AND REPATRIATION COVERAGE OF US$300,000 covering all applicable dates of travel with Shikwaru Adventures.
The travel insurance must cover loss of personal belongings, damages, injuries, emergency medical expenses, delays or any other inconveniences during your tour. Shikwaru Adventures will verify this information before giving you the booking contract.
It is the passenger’s responsibility to ensure that he/she has sufficient coverage and comply with the terms of the applicable insurance plans. The passengers are responsible for advising your insurer of the destination, and activities included in your booking so that the insurer may provide appropriate coverage
5.CHANGES ON THE ITINERARY:
Shikwaru Adventures reserves the right in making any changes on the itinerary at no extra costs.
The routes, accommodations, activities, schedules and mode of transportation are subject to change without any consent of the passenger, this only applies when Shikwaru Adventures cannot control the following: extreme weather, illness, mechanical breakdown, flight cancellations, strikes, political events and entry or border difficulties.
6. FORCE MAJEURE:
Shikwaru Adventures will not be liable in any way for death, bodily injury, illness, damage, delay or loss of property, forces of nature, war, mechanical breakdowns, terrorist activities or threat thereof, civil commotions, labour difficulties, interference by authorities, political disturbance, howsoever and where so ever any of the same may arise or be caused, riot, insurrection and government restraint, fire, extreme weather or any other cause whatsoever beyond the reasonable control of Shikwaru Adventures.
Each passenger is required to pay a 20% non-refundable deposit of the total amount of the tour in order to secure your booking with Shikwaru Adventures.
The full amount due by the passenger to the Shikwaru Adventures, shall be payable not less than 60 days prior to the date of departure.
No passenger will be permitted to commence any itinerary without payment in full being received by Shikwaru Adventures. If the full amount is not received in time, Shikwaru Adventures will treat the booking as cancelled.
Late applicants may join the tour based on accommodation availability.
8. CANCELLATION BY THE CLIENT:
The passenger may cancel his/her trip by notifying the Shikwaru Adventures.
Cancellation fees are the following:
(a) Cancellation received 60 days or more before departure: 80% refund
(b) Cancellation received 59-30 days before: 50% refund
(c) Cancellation less than 30 – 15 days before departure: 25% refund
(d) Cancellation received 15 or less days before departure: no refund
In case of war, natural disasters, political instability, or extreme circumstances beyond our control before your date of departure, Shikwaru Adventures will cancel the tour and reimburse 100% on all passengers.
No reimbursements, discounts or refunds will be issued for services that are missed or unused after departure due to no fault of Shikwaru Adventures.
9. HEALTH AND AGE RESTRICTIONS:
The passenger must acknowledge the physical rating of the itinerary and must confirm that he or she is medically fit, in good physical and mental health and is able to participate on the tour.
Any passenger with a pre-existing medical condition or illness must declare the true nature of such a condition to Shikwaru Adventures before departing on the tour. Any failure to declare may result in the cancellation of his/her booking.
The minimal age for participating in any tour provided by Shikwaru Adventures is 5 years old.
The age limit for participating in any tour provided by Shikwaru Adventures is 90 years old.
Every passenger above the age of 70 is required to submit a medical certificate or self-declaration of medical fitness prior to the beginning of the tour.
8. CLAIMS AND COMPLAINTS:
In the unlikely event that the client has a complaint against the company, Shikwaru Adventures must be informed immediately via email, phone call or SMS. The complaint must then send in writing to our email address within 1 month of the tour end date in order to investigate the matter and be able to assist the passenger. If these procedures are not followed, Shikwaru Adventures will not start or continue any such investigation of said complaint.
10. LUGGAGE ALLOWANCE:
Because overloaded vehicles can be very dangerous and can cause unnecessary transport problems, potentially endangering the passengers and the guide, Shikwaru Adventures insists that every passenger adhere to our luggage restrictions.
The baggage allowance is strictly limited to one large bag per passenger, weighing a maximum of 15 kg.
The passenger is allowed to carry a smaller hand-luggage bag or camera bag.
